The Problem

A content creator managing 17 sponsors was running everything through a combination of spreadsheets and Telegram group chats. Deliverable deadlines lived in one spreadsheet, payment terms in another, and sponsor contacts scattered across dozens of chat threads.

Important messages would get buried. Deadlines were missed because there was no reminder system. At 17 sponsors, the manual overhead had grown to over 6 hours per week — time that should have been spent on content creation.

The Solution

I built a centralized sponsor CRM using Airtable as the single source of truth, with n8n handling all the automation logic. Telegram messages from sponsor contacts are automatically parsed and logged. A deadline monitoring workflow runs daily, sending reminders 7 days, 3 days, and 1 day before each deliverable is due. A live dashboard in Airtable gives an at-a-glance view of every sponsor's status.

  • Parsed messages are automatically logged to the correct sponsor record in Airtable
  • Each deliverable has a due date; n8n monitors all upcoming deadlines on a daily schedule
  • Automated reminders fire at 7, 3, and 1 day before deadline via Telegram and Airtable notification
  • A Google Sheets dashboard syncs from Airtable for sharing weekly status with a VA
  • Payment tracking is included — overdue payments trigger a separate reminder flow

The Results
